I'm Adrian Calvache — Brooklyn-born, Navy veteran, and a proud Latino who has always moved between two worlds: discipline and creativity.

I served as a Meteorologist and Oceanographer in the U.S. Navy from 2008 to 2014, supporting mission-critical operations across multiple installations. After the service, I joined J.P. Morgan as a Software Engineer, specializing in cloud infrastructure and data engineering.

Photography began in college and never stopped. Through the lens I document community, culture, and the people who make both — blending storytelling, emotion, and visual artistry in every frame. Today I live in Teaneck, New Jersey, serving clients across New York City and New Jersey.

Section 1

Services, Scope & Deliverables

Photographer provides photography services as specified in the booking. Deliverables include professionally edited and color-corrected final JPEG images delivered via Private Google Drive within 10 business days of full payment clearing (standard turnaround). Expedited 48-hour editing available for an additional fee where pre-arranged in writing.

Excluded unless separately purchased: RAW files, unedited files, outtakes, paid advertising usage, magazine/editorial publication, third-party brand usage, expedited delivery, extensive retouching, additional locations, or any service not expressly listed.
Section 2

Fee, Retainer & Payment

50% non-refundable retainer due upon signing. Remaining 50% due no later than 5 calendar days after the event, before release of any final files. No date is held until deposit clears.

Client shall not withhold, offset, delay, or charge back payment based on third-party disputes, internal approval issues, or subjective dissatisfaction.

Section 3

No Final Delivery Before Full Payment

Final edited images, download links, print releases, and usage rights are not released until all amounts are paid in full and cleared. Previews or watermarked proofs delivered before payment do not constitute final delivery and do not transfer usage rights.

Section 4

Procurement, Institutional Approval & Purchase Orders

Photographer is not responsible for Client's internal approval process, purchase-order process, vendor onboarding, budget approval, or any third-party rule. Client remains fully responsible for payment even if a third party delays, denies, or conditions payment. Individual signers for organizations agree to personal responsibility if the entity fails to pay.

Sections 5 – 8

Authority, Late Payments, Cancellation & Overtime

  • Authority (§5): Individual signers warrant full authority to bind their organization.
  • Late Payments (§6): 1.5% per month (18% annually) on overdue amounts. Gallery access may be suspended.
  • Cancellation (§7): Deposit is forfeited. One reschedule within 90 days permitted at Photographer's discretion.
  • Overtime (§8): Additional time billed at the agreed rate per 30-min increment. Waiting time caused by Client is billable.
Sections 9 – 11

Creative Control, Delivery & Client Cooperation

  • Creative Control (§9): Photographer retains sole creative discretion. RAW files not included unless separately purchased.
  • Delivery (§10): 5-business-day window to raise specific, objective deficiencies. General dissatisfaction does not constitute non-performance.
  • Cooperation (§11): Client secures all permits, venue approvals, and access. Photographer is not responsible for missed coverage from inaccurate information or access restrictions.
Section 12

Copyright & License

Photographer retains all copyrights. No ownership transfer or unlimited-use license granted unless expressly stated in a separate signed writing.

Upon full payment only, Client receives a limited, non-exclusive, non-transferable license for the specific usage category agreed at booking. No license is granted until all fees are paid and cleared. Unauthorized use constitutes material breach.

Sections 13 – 22

General Provisions

  • Portfolio Use (§13): Photographer may use images for portfolio, website, and marketing unless restricted in writing.
  • Safety (§14–15): Client selects safe locations. Photographer may pause or terminate coverage for unsafe conditions. Client notifies about laser lighting in advance.
  • Independent Contractor (§16): Photographer is not an employee of Client.
  • Liability Cap (§17): Total liability capped at amounts actually paid. No consequential or punitive damages.
  • Force Majeure (§18): No breach for events beyond reasonable control — severe weather, transit shutdowns, government restrictions, etc.
  • Governing Law (§19): State of New Jersey. NJ Small Claims Court available.
  • Entire Agreement (§20): Supersedes all prior discussions. Amendments must be signed in writing.
  • Severability (§21): If any provision is found invalid or unenforceable, the remaining provisions continue in full force. No failure to enforce any provision constitutes a waiver.
  • E-Signatures (§22): Electronic signatures are valid and enforceable.
Optional Rider · When Applicable

New York / NYC Freelance Payment Rider

For NY/NYC assignments where the total value is $800 or more, this Agreement serves as the written freelance contract required by applicable law. Payment is due no later than 5 calendar days after the event date and before final delivery.

Booking & Process
How do I book a session?
Click Book Now in the navigation. Fill in your event details, review the agreement terms, check the agreement box, and hit send. Adrian will reply within 24 hours to confirm availability and next steps.
What's required to lock in my date?
A signed agreement and a 50% non-refundable retainer. No date is held until both are received. The remaining 50% is due within 5 calendar days after your event, before final photos are released.
Can I reschedule?
One reschedule is permitted with minimum 48 hours notice, subject to availability. The new date must be within 90 days of the original. Second reschedule requests are treated as cancellations.
What payment methods do you accept?
Zelle, ACH/bank transfer, check, or credit/debit card via invoice. Payment is considered received only when funds have cleared — no date is confirmed on a pending transaction.
Photos & Delivery
How many photos will I receive?
It varies by event type and duration. A typical 4-hour event yields 80–150 professionally edited images. Headshot sessions include 5 fully retouched images. Every image delivered is color-corrected — no raw dumps, no filler shots.
How long does delivery take?
Standard turnaround is 1–2 weeks after your event and after full payment clears. Need them sooner? Expedited 48-hour editing is available for +$100 — just mention it when booking.
Can I get the RAW files?
RAW files are unfinished work product and are not included in standard packages. They can be purchased separately — ask about this before the shoot and it will be added to your agreement in writing.
How are photos delivered?
Via a private Google Drive link — full-resolution JPEGs, organized and labeled. The link is sent to the email on your booking. Files are available for download for a minimum of 90 days.
Coverage & Travel
Do you travel outside NJ and NYC?
Yes. Travel within 50 miles of Teaneck, NJ is included. Beyond that, travel costs (transit, rideshare, tolls, parking) are billed at cost with no markup. Remote and out-of-state assignments available — contact for a custom quote.
What if my event runs over schedule?
Overtime is billed at the agreed hourly rate, rounded up to the next 30-minute increment. Waiting time caused by late starts, venue delays, or schedule changes is also billable. Always build in buffer time when booking.
Do you bring lighting?
Yes. Professional lighting equipment is available for sessions that require it — indoor events, studio-style headshots, low-light venues. Mention your venue type when booking and it will be discussed in the pre-event consultation.
Government & Nonprofits
Are you eligible for government contracts?
Yes. Veteran With A Camera LLC holds four NJ state certifications: DVOB, VOB, MBE, and SBE. We are registered with the NJ SAVI vendor system and eligible for government set-aside contracts and diversity procurement programs.
Can you work with a purchase order?
Yes, with prior arrangement. A valid purchase order or written institutional payment authorization can be accepted. The 50% deposit requirement may be waived when Veteran With A Camera LLC accepts a PO in writing. All institutional bookings must have approvals confirmed before the event.
Do nonprofits get a discount?
Veteran and military organizations receive special consideration. Nonprofits aligned with community, education, or civic work are encouraged to reach out — custom packages are available and pricing is discussed case by case.
